Position Overview
APA is seeking Academic Events Coordinators in TOKYO, SEOUL, and SHANGHAI to join our Program Team and support the planning, coordination, and delivery of academic and experiential components within customized faculty-led study-abroad programs across the Asia-Pacific region. While the role has a particular focus on academic partnerships, learning experiences, and event coordination, it also involves broader program management responsibilities throughout the program lifecycle. This position requires strong organizational, project management, research, and cross-cultural communication skills, as well as the willingness to travel occasionally and work irregular hours as needed.
Key Responsibilities
- Identify and evaluate potential academic and cultural partners based on program strategy and institutional needs.
- Conduct in-depth research on academic themes, partner institutions, content delivery methods, and engagement strategies to support program development and student learning.
- Expand and maintain APA’s database of academic institutions and cultural partners across the Asia-Pacific region.
- Support the setup and coordination of academic sessions and hands-on cultural experiences for faculty-led programs.
- Provide clear direction and operational support for site visits, lectures, panel discussions, workshops, student projects, service-learning activities, local course integration, and other experiential learning opportunities.
- Coordinate with faculty leaders, university partners, local organizations, and internal teams to ensure academic activities are effectively planned and delivered.
- Contribute innovative ideas to improve student academic engagement and program effectiveness.
- Collaborate with Program Managers and internal teams throughout the program lifecycle, supporting program development, proposal preparation, implementation, and post-program evaluation.
- Provide academic support in proposal development, budgeting, itinerary planning, partner coordination, and on-site program delivery.
- Assist in preparing customized faculty-led program proposals, including itinerary development, proposal documentation, budgeting support, pricing information, and contract coordination.
- Maintain accurate program information, timelines, partner details, academic requirements, and activity arrangements to support smooth program execution.
- Coordinate with institutional partners and internal teams to support program communication, planning, and implementation.
- Work toward independently managing academic partnership tasks and liaising directly with university partners within 6–12 months (full-time track).
Qualifications
- Bachelor's degree required; international education, business, or related fields preferred
- 1–2 years of experience in the education sector, ideally in study-abroad programs, academic coordination, or international partnerships
- Professional fluency in English and the local language of your base city — Chinese (Shanghai), Japanese (Tokyo), or Korean (Seoul); additional Asian language a strong plus
- Exceptional attention to detail and strong document management skills
- Excellent communication, negotiation, and interpersonal skills in cross-cultural settings
- Strong organizational and time-management abilities; able to work independently and collaboratively
- Proficiency in Microsoft Office (Teams, Sharepoint, Excel, Word); Google Workspace is a plus
- Willingness and ability to travel; flexibility to work occasional irregular hours during program seasons
