Position Overview
APA is seeking Program Coordinators in TOKYO, SEOUL, and SHANGHAI to support the planning and coordination of customized faculty-led study-abroad programs across Asia and Oceania. Key responsibilities include developing academic itineraries, managing program budgets, coordinating with institutional partners and regional vendors, and overseeing on-the-ground program implementation for international university clients. This role requires strong organizational skills, cross-cultural communication ability, and the willingness to travel occasionally.
Key Responsibilities
- Support Program Managers in collaborating with Education Abroad staff and faculty leaders throughout the program lifecycle, assisting with program development, proposal preparation, implementation, and post-program evaluation.
- Assist in preparing customized faculty-led program proposals, including itinerary development, proposal documentation, budgeting support, pricing information, and contract coordination.
- Research and identify potential housing, academic, corporate, nonprofit, alumni, and community partners; assist with outreach and maintaining partnership information to support new program development.
- Coordinate communication with universities, housing partners, corporations, nonprofit organizations, freelancers, and other local service providers to support program planning and successful delivery.
- Collect, organize, and maintain program information, including itineraries, participant details, academic requirements, logistics arrangements, and vendor bookings.
- Prepare cost estimates, collect vendor quotations, and support program budgeting and pricing under the guidance of Program Managers.
- Maintain accurate records in operations management systems, including meeting notes, contacts, partnership activities, and program updates.
- Coordinate with internal teams to support client communication, institutional meetings, itinerary updates, and operational planning.
- Support on-site program operations by assisting with daily logistics, issue resolution, faculty communication, and expense tracking to help ensure a positive participant experience.
- Collect and summarize post-program feedback, reports, and evaluations to support continuous program improvement.
- Support Student Ambassador recruitment and assist with internal training, knowledge sharing, and cross-department collaboration.
Qualifications
- Bachelor's degree required; international education, business, or related fields preferred
- 1–2 years of experience in program coordination, project administration, or proposal support
- Professional fluency in English and the local language of your base city — Chinese (Shanghai), Japanese (Tokyo), or Korean (Seoul); additional Asian language a strong plus
- Strong attention to detail and document management skills
- Excellent communication, negotiation, and interpersonal skills, especially in cross-cultural environments
- Strong organizational and time-management abilities; able to work independently and collaboratively
- Proficiency in Microsoft Office (Teams, Sharepoint, Excel, Word); Google Workspace is a plus
- Willingness and ability to travel; flexibility to work occasional irregular hours during program seasons
